These Terms and Conditions (“Terms”) govern the Low Resource Audio Codec (LRAC) Workshop (“Workshop”), which forms part of the IEEE ICASSP 2026 Satellite Workshops program. Certain technical and supporting aspects of the Workshop are sponsored by Cisco Systems, Inc., 170 West Tasman Drive, San Jose, California 95134, USA (“Cisco”).

Scope of Sponsorship
Cisco’s sponsorship is limited to technical contributions, along with promotion and recruitment activities, and does not extend to event logistics or workshop administration managed by IEEE ICASSP 2026. Cisco’s role includes:

  • Defining and structuring the Workshop’s technical program within the single‑day schedule established by the ICASSP organizers.
  • Facilitating technical activities and discussions during the Workshop.
  • Managing and supporting the technical review of Workshop submissions.
  • Managing promotion, advertising, and participant recruitment.

Purpose of Sponsorship
Cisco’s objective in sponsoring these activities is to encourage the exchange of ideas within the research community and to advance practical telecommunications solutions. In particular, Cisco supports innovation in low-resource neural audio coding—emphasizing low computational complexity, low latency, and low bitrate methods suitable for resource-constrained or low-end devices.

Non‑Sponsored Activities
All other aspects of the Workshop — including, without limitation, event logistics, venue arrangements, dates, schedules, registration processes and fees, on‑site services, coffee breaks, archival‑track submission and review procedures, and any related policies or terms are solely determined and administered by the ICASSP 2026 organizers. Cisco is not responsible for any logistical, operational, registration,scheduling, or other administrative activities managed by ICASSP.

PARTICIPATION

Attendance‑Only Registration

Attendance registration for the Workshop is administered entirely by the ICASSP 2026 organizers and is subject to the official ICASSP registration policies and deadlines published at https://2026.ieeeicassp.org/ and related conference portals.

Participants must:

  • Complete ICASSP Workshop registration in accordance with ICASSP procedures.
  • Pay all applicable registration fees.
  • Meet the ICASSP‑defined registration deadlines.

No registrations will be accepted outside the ICASSP registration period. Venue, date, and all on‑site arrangements are managed exclusively by ICASSP and may change without prior notice.


Submitting to and Presenting at the Workshop

Individuals or teams wishing to present at the LRAC Workshop 2026 must follow one of the participation pathways below.

General Requirements for All Presenters

All presenters — regardless of track or invited role — must:

  • Register for the Workshop via the ICASSP website.
  • Pay the relevant registration fees.
  • Attend and present in person to be included in the Workshop program.

a) Archival Track

Scope:
Accepts Workshop paper submissions relevant to the Workshop Topics and/or systems submitted to the 2025 LRAC Challenge in compliance with its Official Rules.

Submission Format:
Follow the IEEE ICASSP 2026 style, format, and length guidelines as defined in the official Paper Kit.

Submission Platform:
Submit via the ICASSP 2026 Content Management System (CMS) at Workshop Submission Portal. Authors must agree to ICASSP terms, conditions, and privacy policy.

Review:
Review is managed exclusively via the ICASSP CMS. Deadlines and processes cannot be altered by LRAC organizers.

Publication:
Accepted papers will be:

  • Presented at the Workshop.
  • Published in the ICASSPW Proceedings and archived in IEEE Xplore.

Condition: At least one author must register for the Workshop via ICASSP, attend in person, and present for publication eligibility.

In the event of any discrepancy, ambiguity, or uncertainty regarding Archival Track and its submissions, the ICASSP 2026 policies, terms, and procedures shall prevail over these Terms.


b) Non‑Archival Track

Scope:
Welcomes works in progress, previously published research, or system demonstrations relevant to the Workshop topics. This track is intended for sharing developments without formal archival publication.

Format:
Follow IEEE ICASSP 2026 style, format, and length guidelines in the Paper Kit.

Submission Platform:
Use the online form managed by the LRAC Workshop organizers — link will be posted on the Tracks page.

Deadline:
Abstracts must be submitted by 7 February 2026 (subject to change; updates will be posted at the official Workshop site).

Review:
Screening for topic relevance and suitability will be conducted by LRAC Workshop organizers. Decisions are final.

Publication:
Accepted materials will be featured on the Workshop website but will not be archived in IEEE Xplore.

Condition: At least one author must register via ICASSP, attend in person, and present for featuring eligibility.


c) Invited Keynote Speakers and Panelists

These roles are filled by direct invitation from the LRAC Workshop organizers. Invitees must confirm participation and submit any required materials by the deadlines stated in the invitation. Failure to confirm or submit on time may result in withdrawal from the program.


INTELLECTUAL PROPERTY, SUBMISSION REQUIREMENTS, AND LICENSE TO PUBLISH

Applicability:
This section applies to all submissions and materials provided to the LRAC Workshop — including, without limitation, Non‑Archival Track papers, abstracts, presentations, demonstrations, datasets, software, and other content — except Archival Track submissions formally made through the ICASSP 2026 process. Archival Track submissions are governed solely by the ICASSP 2026 policies, terms, and procedures as set out at https://2026.ieeeicassp.org/ and in the submission process. Where there is a conflict over the treatment of Archival Track submissions, the ICASSP 2026 terms take precedence.

By submitting any content, manuscripts, data, software, demonstrations, or other work (collectively “Submission(s)”) to the Workshop, you represent and warrant that:

  1. Ownership and Rights — You are the sole owner of all rights, title, and interest in your Submission(s), or you have lawfully obtained all necessary permissions, licenses, and consents from the rightful owner(s) to make the Submission(s) and grant the rights described in these Terms.

  2. No Infringement — Your Submission(s) do not infringe, misappropriate, or otherwise violate any intellectual property rights, confidentiality obligations, or proprietary information of any third party, including but not limited to copyrights, trademarks, patents, trade secrets, or obligations under non‑disclosure agreements.

  3. Compliance — Your Submission(s) comply with all applicable laws, regulations, contractual obligations, and organizational policies.

Grant of Rights to Cisco:
By making a Submission, you grant Cisco a worldwide, royalty‑free, perpetual, irrevocable, non‑exclusive license (with the right to sublicense) to use, reproduce, adapt, modify, publish, display, distribute, and otherwise make available your Submission(s), in whole or in part, for purposes connected with the administration, promotion, and documentation of the Workshop. No compensation will be provided.

Your Responsibilities:
You are solely responsible for ensuring that your Submission(s):

  • Contain no unlawful material.
  • Do not disclose confidential or restricted information.
  • Do not contain any elements subject to third‑party rights that would be violated by publication or use under these Terms.

Indemnification:
You agree to indemnify, defend, and hold harmless Cisco and its affiliates from and against any and all claims, demands, damages, losses, liabilities, and expenses (including reasonable attorneys’ fees) arising from or related to:

  • Your Submission(s); and/or
  • Any breach of the foregoing representations and warranties.

Publication Notice:
By participating in the Workshop and submitting any material, you acknowledge and agree that your Submission(s) may be made publicly available — in whole or in part — as part of the Workshop activities.


GENERAL CONDITIONS AND RELEASE OF LIABILITY

Participant Agreement:
To the fullest extent permitted by law, by registering for or participating in the Workshop, you agree to release, discharge, and hold harmless Cisco, its parent companies, partners, subsidiaries, affiliates, employees, officers, agents, and representatives from any and all liability for any injury, loss, damage, or expense of any kind (whether direct, indirect, incidental, or consequential) arising out of or in connection with your participation in the Workshop.

Warranty Disclaimer:
All materials, information, content, and activities provided in connection with the Workshop are delivered “as is” without warranties of any kind, either express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, title, and non‑infringement.

Event Modification or Cancellation:
To the extent within Cisco’s control as Workshop sponsor, Cisco reserves the right, in its sole discretion, to cancel, modify, suspend, or postpone those elements of the Workshop under its responsibility at any time for any reason, including, without limitation, technical issues, unforeseen circumstances, or events beyond its reasonable control. Matters relating to logistics, scheduling, venue, or other aspects managed by the ICASSP 2026 organizers remain solely within the responsibility and discretion of ICASSP. If the integrity or proper administration of any Cisco‑managed element of the Workshop is compromised, Cisco may take any action deemed necessary, including termination of that element.

Legal Compliance:
The Workshop is subject to all applicable federal, state, and local laws and regulations. All participants are solely responsible for compliance with any applicable laws, rules, regulations, contractual obligations, and/or organizational policies with respect to their participation.

Limitations of Liability:
Cisco shall not be responsible for:

  • Lost, late, misdirected, undeliverable, incomplete, or indecipherable submissions due to system errors, failures, or faulty transmissions.
  • Technical failures of any kind, including but not limited to malfunctions, interruptions, or disconnections in phone lines, networks, servers, or platforms.
  • Failures of any equipment, hardware, or software used in connection with the Workshop.
  • Unauthorized human or mechanical intervention in any part of the Workshop process or administration.
  • Errors, defects, or delays that may occur in the administration of the Workshop.
  • ICASSP‑controlled systems, deadlines, venue arrangements, or other logistics.
  • Any circumstances beyond Cisco’s reasonable control.

GOVERNING LAW

This Workshop will be governed by the laws of the State of California, and you consent to the exclusive jurisdiction and venue of the courts of the State of California for any disputes arising out of this Workshop.


PRIVACY

All personal information collected by Cisco will be used for the administration of the Workshop and in accordance with Cisco’s privacy policy. Any questions regarding privacy matters should be directed to the address set out above. Please refer to Cisco’s privacy statement located at https://www.cisco.com/c/en/us/about/legal/privacy-full.html for important information regarding the collection, use and disclosure of personal information by Cisco.


INTERPRETATION, PRECEDENCE, AND CHANGES

In the event of any conflict between these Terms and the ICASSP 2026 policies on matters they govern, the ICASSP 2026 policies shall control.
These Terms may be amended or updated at any time without prior notice. The most current version will always be posted on the official LRAC Workshop website.
